What Event Producers Told Us Actually Breaks on Competition Day

Before we wrote a single line of code, we sat down with producers who have been running cheer and dance events for years. Some run two events a season, some run twenty. We asked all of them the same question: what actually goes wrong on competition day?

Almost nobody said scoring math. That surprised us.

What they talked about instead was the juggling. The registration list living in one system while the schedule lives in a spreadsheet. The head judge flipping between two laptops just to see one division. The volunteer at the ticket table trying to take cash, a card, and a screenshot of a receipt all at once. One producer told us she still keeps a paper binder as her real backup — not because she loves paper, but because she’s been burned by software that quit on her mid-event.

None of these are dramatic failures. They’re small leaks. But add them up across a fourteen-hour day and they’re the reason producers go home exhausted instead of proud.
